FAQ: What are your Conditions of Acceptance?

✨ Item Condition & Preparation Guidelines

At Valley Vibe Consignment Boutique, we are committed to offering beautiful, like-new pieces to our customers. To maintain our ultra-curated standard, all items must be in excellent condition.

🚫 Items That Will Be Returned or Donated

The following items will not be accepted and will be returned (or donated if not picked up):

  • Stained items (including sweat stains)

  • Broken zippers

  • Rips or tears

  • Fading

  • Pilling

  • Missing buttons

  • Outdated styles

  • Strong odors

We carefully inspect every piece before it reaches the floor, and we truly appreciate you taking the time to pre-screen your items before bringing them in.


🌿 Scent-Free Policy

We are a scent-free zone.

Please wash your items using non-scented laundry detergent prior to drop-off. Some of our customers and staff have allergies or high sensitivities to fragrance, and we want our boutique to feel safe and comfortable for everyone.


🔍 Please Double Check These Areas

When reviewing your items, please pay special attention to:

  • Underarm areas

  • Collar areas

  • Cuffs and hems

These areas tend to show wear first and are carefully inspected.


👟 Shoes

All shoes must be:

  • Clean

  • Free of dirt, grass, and rocks on the bottoms

  • In excellent condition


🏷️ Brand & Label Requirements

All items must have a visible brand label.

Exception: Lululemon items without a tag may still be accepted if authenticity can be verified.


🚭 Additional Policies

  • We do NOT accept items from smoking households.

  • We do NOT accept items with pet hair.

These policies help us maintain the high standard our customers expect and love.

FAQ: What happens during processing?

Once you drop off your items, our processing begins behind the scenes.

First, we carefully go through and hang each piece. Every item is thoughtfully inspected to ensure it meets our conditions of acceptance and boutique standards.

After we select the pieces that will move forward to consignment, each item is:

  • Carefully inspected again

  • Steamed

  • Smoothed and wrinkle-free

  • Prepared to be beautifully displayed on the floor

We want every piece to look its absolute best before it reaches our customers.


Our Detailed Processing Review

Although we do a general review at drop-off, please note that we conduct a more thorough inspection during processing and steaming.

Occasionally, we may discover something we did not catch in the initial review (such as faint staining, small flaws, or wear). If this happens, we may email you to arrange pickup of those items.

We truly appreciate your understanding — our goal is always to maintain the highest quality standard for both our shoppers and our consignors.


 How We Price Your Items

We take pricing seriously and do our research on every single piece.

For each item, we look at:

  • What the item sells for new

  • What it is currently selling for on the resale market

  • Brand

  • Style

  • Condition

  • Whether it is vintage

We then price accordingly to ensure a fair and competitive value for both you (the consignor) and our customers.

Our goal is simple:

FAQ: What happens to the items that are not chosen for consignment?

✨ Unaccepted Items & Donation Policy

After we complete processing, you will receive an email notification if there are items we were unable to accept for consignment.

From the date that email is sent, you will have 7 business days to pick up your unaccepted items.

⚠️ Important:
If we do not hear from you and your items are not picked up within 7 business days of our email, they will automatically be donated. Due to limited storage space and daily intake of consignments, we are unable to hold items beyond this timeframe.

We kindly ask that you check your email regularly after your drop-off so you do not miss this notification.

When picking up your items, please bring your own bag or box to retrieve them.


💚 Donation Option

If you selected the Donate option on your consignment agreement, any unaccepted items will be donated immediately on your behalf.

We proudly support local organizations and rotate donations between:

  • Comox Valley Transition Society

  • Stepping Stones

  • Comox Valley Recovery Centre

  • Sunday Station

  • YANA (You Are Not Alone)

Your donated items help support individuals and families right here in our community while keeping fashion sustainable and thoughtful.

FAQ: What is My Share?

✨ Consignor Payout Options

When your item sells, you have two payout options:

  • 40% of the final sale price paid by cheque

  • 50% of the final sale price as in-store credit

You may choose the option that works best for you as your items sell.


💳 Cheque Policy

  • We do not issue cheques under $25.

  • We do not e-transfer your funds or mail checks
  • We require 2 day’s notice when requesting a cheque so we can prepare it for pickup.


⏳ Important Cheque Pickup Policy

Any cheques that are requested and not picked up within 3 months of the request date will be placed back onto your consignor account.

Once returned to your account, those funds may only be used toward in-store purchases and will no longer be available as a cheque payout.


We believe in keeping our process simple, fair, and transparent for all of our consignors. If you ever have questions about your balance or payout options, we are always happy to help 💚

FAQ: How Long do my Items Stay on the Floor?

✨ Consignment Agreement & Contract Terms

We want to give your pieces time to truly shine on our floor. For that reason, we offer a 120-day consignment agreement, beginning from the day each item is placed on the sales floor.

Please note:
Your items may not be put on the floor the same day they are dropped off. Depending on intake volume, processing time, and seasonal rotation, it may take up to one week before your items are released to the floor. Your 120-day term begins once the item is available for sale.


⏳ End of Contract Policy

We do not contact consignors at the end of their contract.

If you would like to pick up any remaining items at the end of your 120-day term, it is your responsibility to email us to arrange pickup.

  • We require 48 hours’ notice by email for all pickup requests.

  • Please allow us 48 hours to have your items pulled and ready.

If we do not hear from you at the end of your contract, remaining items may be donated.


💚 Sales Disclaimer

While we do our absolute best to curate, merchandise, and promote your items, we cannot guarantee that items will sell. Sales are always dependent on customer demand, trends, seasonality, sizing, and what shoppers are currently looking for.

FAQ: What Happens if my Items Do Not Sell Within the 90 Days?

✨ End of Agreement, Pricing & Store Policies

⏳ If an Item Does Not Sell

If an item does not sell within its 90-day agreement, it will either:

  • Become store property, or

  • Be donated

At the start of your consignment agreement, you will choose whether you would like your unsold items returned or donated.

It is your responsibility to contact us and request the return of your items before their expiry date.


📦 End of Contract Pickup Policy

All consignors have 2 weeks after their agreement ends to pick up remaining items.

  • You must give a minimum of 2 days’ notice before the end of your 90-day term if you would like your items returned.

  • We require 2 days to pull your items from the floor and remove them from our inventory system before pickup.

  • You have 2 weeks from your agreement end date to retrieve your items.

⚠️ Important:
If we do not hear from you and your items are not picked up within those 2 weeks, your items will be donated. Due to limited storage space, we cannot hold items beyond this timeframe.

FAQ: How Much Does an Item Sell For?

We carefully research and price every item to reflect:

  • Brand / Label

  • Condition

  • Style & desirability

  • Current resale market value

All price points are determined by Valley Vibe.

Prices are subject to change at the discretion of Valley Vibe. This includes promotional pricing, seasonal markdowns, and adjustments based on the competitive retail market.

Our goal is always to price fairly for both the consignor and the customer.

Valley Vibe Consignment Boutique does not authenticate items brought in.

If you are consigning a luxury item and would like it priced accordingly, we require:

  • Original receipt or

  • Official authentication papers

Without proper documentation, items will be priced based on market value without authentication verification.

FAQ: What Types of Items are Not Accepted?

Updated Consignment Guidelines – Please Review 💚

Hi Valley Vibe Community,

To keep our boutique fresh, curated, and aligned with our brand, we want to share a reminder of items we are currently not accepting for consignment. This helps us maintain quality, flow, and the best shopping experience for everyone.

We Are Not Accepting:

  • Socks (unless brand new)

  • Underwear

  • Intimates

  • Costume jewelry

  • Baby clothing

  • Bathing suits

  • Sleepwear

  • Pajamas & robes

  • Skinny jeans

  • Men’s suits

  • Men’s trench coats

  • Men’s sport coats

  • No activewear for women (including sports bras & workout tops)

  • Any items damaged in any way

  • Any items without brand or size tags


Important Quality Reminder 💚

Due to customer allergies and sensitivities, it is extremely important that:

  • All pet hair is removed

  • There are no smoke smells

  • There are no strong perfume or laundry detergent scents

  • We do not accept clothing from smoking households

FAQ: What Happens if Items are not Picked up at end of Agreement?

🗂️ Inactive Accounts Policy

Consignors who have not:

  • Brought in items for consignment

  • Made a purchase with their account

  • Requested money

for 1 year will be considered inactive.

Inactive accounts will be deleted from our system and ownership of remaining clothing/money becomes property of Valley Vibe Consignment.

FAQ: What is the Return Policy?

🛍️ Final Sale Policy

All items purchased in-store are final sale.

Because consignor earnings are automatically credited to their accounts at the time of purchase, we are unable to offer returns or exchanges.

FAQ: How Many Items Can I Drop Off?

We accept a minimum of 10 items and a maximum of 20 items per consignment drop-off.

Because each item is carefully inspected, researched, steamed, sanitized, and processed, we must be particular about how many pieces we bring in at one time. This allows us to give your items the attention they deserve while keeping our boutique floor fresh and curated.

We kindly ask that you bring only your best pieces — items that are current, in excellent condition, and ready for a new home.

💍 Special Occasion Exception:
We will accept one single item if it is a wedding dress or grad dress.

FAQ: When do we Take Seasonal Items?

🌸 Seasonal Acceptance Guide

To keep our boutique fresh and aligned with the seasons, we accept items based on the following timeline:

SPRING – February to July
SUMMER – May to July
FALL – August to December
WINTER – September to January

Seasonal intake may vary slightly depending on weather and current inventory levels.

Any item brought in out of season will be returned or donated.
